Job Description
The Nevada System of Higher Education (NSHE) invites applications for the position of Senior Administrative Coordinator. This is a renewable, full-time, non-tenured, administrative position and reports to the Chief Human Resources Officer. The position will be located in Las Vegas, Nevada.
The NSHE is comprised of eight institutions: two universities, a state university, four community colleges and research institute. The public system of higher education in Nevada continues to experience growth with significant opportunities in serving over 105,000 students and 12,000 employees.
The Senior Administrative Coordinator reports directly to the Chief Human Resources Officer and provides primary executive-level support to multiple Executive leaders within NSHE.
The primary purpose of this position is to deliver comprehensive, high-level administrative coordination to ensure the efficient and effective functioning of executive leadership within NSHE. The role manages complex communications; drafts and reviews official correspondence and Board-related materials; coordinates and prioritizes executive schedules; and facilitates interactions with internal and external stakeholders.
Serving as a key liaison, the incumbent regularly interfaces with Vice Chancellors, Presidents, Regents, Faculty Senate representatives, government officials, legislative groups, community leaders, students, faculty, and staff. The position requires independent judgment, discretion, and the ability to manage competing priorities in a fast-paced environment. By proactively supporting strategic initiatives and handling sensitive and confidential matters, the Senior Administrative Coordinator directly contributes to the operational effectiveness and strategic alignment of executive functions across NSHE.
SALARY GRADE: *This position offers a competitive compensation package commensurate with the candidate's education, experience, and certification/training. In addition to base salary, employees enjoy a comprehensive benefits package that includes:
- Comprehensive Health Insurance: includes health, dental, vision, and life insurance. Additionally, an employer paid long term disability plan is included.
- Outstanding Retirement Plan: professional employees are required to participate in the 401(a) Retirement Plan Alternative (RPA). Employee contributions of 19.25% are matched 100% by the employer and employees experience an immediate vesting in the plan. Employees who currently or previously participated in Public Employees Retirement System (PERS) of Nevada may be eligible to continue in the PERS plan.
- Paid Leave: generous annual leave (accrual of 2 days per month), sick leave (granted 30 days at time of hire), 12 paid holidays, and paid family leave.
- Education Benefit: employees and their qualified dependents may take advantage of a tuition savings benefit. Faculty may take up to six credits per semester at a reduced rate and their dependents may access an unlimited number of credits, if they meet specific criteria.

APPROXIMATE STARTING DATE: March 30, 2026
MINIMUM QUALIFICATIONS: A minimum of a Bachelor's degree and three (3) years of senior level administrative experience (or) Associate's degree with five (5) years of senior level administrative experience (or) a combination of education and ten (10) years of progressively responsible senior level administrative experience from which comparable knowledge and skills were acquired.
KNOWLEDGE, SKILLS, AND ABILITIES: Successful candidates must possess the following knowledge, skills, and abilities. It is recommended that applicants for this position address each of the following items in the letter of application:
- Comprehensive understanding of NSHE organizational structure, policies, and procedures relevant to the position.
- Knowledge of higher education governance structures, institutional operations, and state legislative processes.
- Familiarity with operating in politically sensitive and high-profile environments.
- Strong understanding of administrative and executive office operations, including recordkeeping, scheduling, and correspondence management.
- Excellent interpersonal and communication skills, both verbal and written, with the ability to interact tactfully and diplomatically with diverse stakeholders at all levels, inside and outside NSHE.
- Exceptional writing, proofreading, and editing skills, including correct grammar, spelling, punctuation, and professional formatting.
- Proficiency in computer software, including Microsoft Office Suite (Word, Outlook, Excel), email, and Internet research.
- Ability to organize and maintain efficient records and information management systems.
- Strong organizational, planning, and time-management skills to prioritize multiple, competing tasks and meet changing deadlines.
- Ability to take and transcribe accurate meeting minutes.
- Demonstrated attention to detail to respond to unexpected job demands while maintaining high standards of accuracy.
- Exercise independent judgment, discretion, and critical thinking in complex and sensitive situations.

- Represent the Chancellor's Office effectively in interactions with internal and external stakeholders.
RESPONSIBILITIES: The duties of this position will include, but not be limited to, the following areas of responsibility:
Executive Administrative Support
Provide high-level administrative and strategic support to executive leadership, exercising independent judgment and initiative.
- Review, prioritize, and manage incoming and outgoing correspondence, signature items, and time-sensitive materials; recommend action and track completion.
- Exercise judgment and independent initiative in bringing information or issues to the Executive leadership.
- Coordinate and track special assignments requiring collaboration across executive offices.
- Provide support for preparation of Board of Regents materials, including agenda item request forms, briefing papers, and related documentation.
- Support the preparation of meeting materials for Councils, Committees, or System-wide groups, including drafting agendas, reports, and related documentation.
- Maintain master reporting calendars, Board workplans, and new business logs relevant to assigned areas.
- Oversee executive travel arrangements and reimbursement processing.
- Manage unique, sensitive, and confidential projects with professionalism and discretion
Communications and Scheduling Coordination
Manage executive communications and complex scheduling to optimize time and organizational effectiveness.
- Coordinate communications with executive leadership, institutional partners, and external stakeholders.
- Maintain and prioritize daily and long-range executive calendars, ensuring optimal use of time and alignment with strategic priorities.
- Draft, edit, and review correspondence and responses on behalf of Executives; ensure accuracy, completeness, and policy compliance.
- Plan and coordinate meetings, conferences, and events, including logistics, agendas, and supporting materials.
- Assist in preparing materials to help ensure Executives are well-informed for meetings and/or public engagements.
- Address or appropriately route inquiries and informal concerns with sound judgment and professionalism.
- Demonstrate cultural competency and effective communication in interactions with diverse constituencies.
Special Projects and Organizational Support
Support strategic initiatives and perform additional duties as assigned.
- Assist with conducting research, preparing reports, and developing recommendations under minimal supervision.
- Compile documentation and coordinate responses to inquiries requiring cross-departmental collaboration.
- Provide operational support to ensure continuity of executive office functions, including front office assistance when necessary.
