About the City of Portland Parks, Recreation and Facilities:
The Portland Parks, Recreation, and Facilities Department is comprised of 160 full-time and over 250 seasonal staff dedicated to enhancing the quality of life in Portland, Maine. They achieve this by operating cultural venues, running community programs (including Before and After School, Swim Lessons, and Senior Adult programs), and maintaining public buildings, waterfront infrastructure, 70 parks, 40+ miles of trails, 13 cemeteries, and 30 playgrounds. Their diverse team, including Park Maintainers, Lifeguards, Event Managers, Horticulturalists, and many others, works collaboratively to provide spaces and opportunities for social connection, recreation, and community development.
Job Summary:
This position is a front-facing customer service position working with the public and providing administrative support to all divisions within the Parks, Recreation and Facilities Department.
Essential Duties and Responsibilities:
Primary responsibilities include but are not limited to customer service, administrative work, applications and registrations for department programs, rentals and permits. This position also assists with gathering content for website publications and departmental communications which includes updating social media, website, monthly newsletters, calendar maintenance, event tracking and all communication related duties as required.
Requirements of Work:
- Working knowledge of program registration and/or facility scheduling software.
- Ability to communicate effectively and understand both oral and written direction.
- Excellent organizational and time management skills.
- Ability to exercise tact, initiative and good judgment in dealing with clients, parents and the general public.
- Working knowledge of Google and Microsoft Office Suite software, as well as modern office equipment practices and procedures.
- Ability to work with a diverse population.
- Excellent customer service skills.
- Ability to process financial transactions.
- Ability to establish and maintain effective working relationships with co-workers, supervisors, City officials, outside contractors and the general public.
Experience and Training Desired:
- Graduation from high school, supplemented by two years of college or university training, or any equivalent combination of experience and training
- Experience with managing social media platforms.
- Experience with desktop publishing projects.
- Experience in making independent decisions in accordance with established policies and procedures.
- Previous clerical or administrative experience in a municipal agency.
- Experience with multi-line phone systems.
- Experience in the use of customized program registration and facility scheduling software.
- Experience working with diverse populations.
Necessary Requirements:
- Must possess a valid Class C motor vehicle license.
- Must have and maintain a good driving record.
Expected Hours/Schedule: 30 hours/week 10:00 a.m. to 4:30 p.m. (5 days/6.5 hrs per day with a 30 minute unpaid lunch break).

Salary & Benefits:
This is a union position, CEBA Union Grade 9 with a starting pay range of $22.44/hour to $25.22/hour, based on relevant years of experience.
